Faculty Travel
The Faculty Travel Grant Program helps full-time faculty to attend regional, national, or international professional affairs in order to present or perform scholarly or artistic works. Because the committee receives more requests for support than it can fully fund, funding is currently limited to faculty who are presenting or performing at a professional conference. The committee does not consider co-authorship in which the faculty member is not actively presenting or performing (e.g. faculty is a co-author with a student or colleague who is actually presenting) to fulfill this requirement. If two faculty members from WVU are presenting a paper which has been co-authored, only one will be funded. Priority for the limited travel funds will be given to support faculty travel to international and national level professional conferences over local or regional ones.
To be considered for support, applicants must submit complete and comprehensible applications. This includes an abstract and letter of invitation or acceptance along with a completed application form. The committee has agreed that it will summarily reject applications that fail to provide requested information on the forms provided. Applications must be computer generated if all information requested is present and in the same sequence as on the preprinted forms.
Only one application will be funded for any individual during a given program year. Deadlines for the program year are given below. You may apply for funding after your travel has taken place, but you must apply no later than the next scheduled deadline. Applicants who have outstanding balances from previous awards or who have not submitted the required documentation from previous awards shall be ineligible.
NOTE: The committee will not fund activities such as chairing panels, organizing professional events, or fulfilling association obligations.
Eligibility
Support is available to full-time (1.0 FTE) faculty on the Morgantown and Charleston campuses. Faculty on the regional campuses at Potomac State College, WVU-Parkersburg, and WVU Institute of Technology should seek support similar to that of the Faculty Travel Grant Program on their respective campuses.

Project Budgets and Funding Limitations
A thoroughly explained and justified budget is one of the most important components of a successful application. Provide complete justification of all expenses. If driving over 700 miles, compare mileage expenses with airfare and request lesser amount. For example: How are you traveling? Is that the least expensive route, time, means? What is your source for this information?
Also indicate any funding from sources other than Faculty Travel Grant Program. Identify completely all funding sources (departmental, college, outside, personal; include a statement about grant funds allocated to travel). If you have requested or received funds from other university sources, indicate source and amount. What is the extent of others’ and your financial commitment to this presentation? The more complete your documentation of funding sources, the better your chances of receiving funds—and at a higher percentage of your request. Double check budget figures and travel grant award limits. The maximum award is $600 for domestic and $900 for international travel.
Application Submission
All applications must be submitted electronically. Hard copies will NOT be accepted under any circumstances. While signatures are not required on electronic applications, the proposal must be forwarded to your departmental chairperson for approval. The chairperson will then forward the application to your dean’s office. OSP will only accept applications from dean’s or their designees. Applicants should make all efforts to submit their application in one document.

Proposals must be received electronically by the Office of Sponsored Programs by 4:45 p.m. on the day of the deadline at: wvu_internal@mail.wvu.edu
NOTE: Applications for the April 6, 2010, deadline must be for travel before June 10, 2010.
Via e-mail, OSP will send notification to all applicants confirming receipt of senate research grant applications. If you do not receive such notification within a few days of the grant deadline, please contact OSP as soon as possible.
Proposal Evaluation & Review
The committee takes into consideration many aspects when reviewing applications including:
- Significance of meeting and level of importance in your professional field.
- Nature of presentation and process of presentation selection (e.g., peer review, invitation by session chair, etc.). If not the first author on the abstract you must provide a statement that you are the presenting author.
- Complete justification of all expenses.
- Other sources of funding.
- Abstract and letter of acceptance. When submitting electronically these may either be scanned and send as part of the application or sent electronically as separate attachments.
- The committee will consider a travel grant request from only one presenter for the same presentation.
Post-Award Requirements
Once awarded, faculty travel funds will be available one week before the scheduled activity. Copies of receipts for registration, hotel, transportation, etc. should be submitted to your EBO for reimbursement after travel has occurred. * Do not submit receipts with your application if applying after your travel has already taken place. Wait until you have been notified that you received a travel grant and then contact your EBO for reimbursement.*
